QuickBooks Online: invoice + payment + GL sync

Wire QuickBooks Online as the GL destination - invoices, payments, customers, vendors flow both ways, with reconciliation surfacing in Finance.

The QuickBooks Online connector is the most-used Integration for SMB tenants - QBO holds the GL, Apragya AI handles the intake + agent layer + workflows around it. Two-way sync covers invoices, customers, vendors, payments, and journal entries.

Connect QuickBooks Online

  • Sidebar > Integrations > Connectors > QuickBooks Online > Connect
  • OAuth 2.0 to your QuickBooks company
  • Pick the chart-of-accounts mapping (the connector pre-maps the obvious ones; you tweak the rest)
  • Optional: also link the Sales Tax Center for auto-applied tax codes

What syncs

  • Customers, Vendors - bidirectional, last-write-wins on conflict
  • Invoices - Apragya creates in QBO when an SO/Quotation is invoiced; QBO updates flow back (status, payments received, late notes)
  • Bills (supplier invoices from Invoice & AP) - posted on approval; status updates flow back
  • Payments - both sides; auto-applied to the matching invoice/bill
  • Journal entries - read-only by default; write-back enabled by tenant config
  • Chart of accounts, Items, Tax codes - read-only sync from QBO to Apragya as reference data

Reconciliation surfaces

Once connected, the Finance app's Bank Reconciliation tab pulls the QBO bank feed and runs the Bank Reconciler agent against it - matches bank lines to GL entries with a confidence score, pauses on the ambiguous ones, posts the clean ones.

QuickBooks Online connections refresh automatically as long as a sync runs at least once every 100 days. If a tenant goes dormant longer than that, the connection needs to be re-authorized - the platform pings your admin 7 days before it lapses so you have time to reconnect.

Sandbox vs production

Connect a QBO sandbox first for testing - same OAuth flow, just point at the sandbox company. Once happy, disconnect sandbox and reconnect to production. The connector preserves the field-mapping config across the swap so re-mapping isn't needed.
